Bookkeeping for Law Firms

Confident books, Clean IOLTA, Consistent billing

Take bookkeeping off your plate

At Ember Bookkeeping Services, we help law firms to have clean IOLTA accounts, reliable billing, and insightful books.

Law firm bookkeeping requires specialized knowledge to manage trust accounts and keep firm and client expenses clearly delineated. Our workflows take bookkeeping off your plate while maintaining transparency and compliance.

Clean IOLTA accounts are always the top priority. Our strategies ensure that this will never be in question. Retainer and escrow transfer workflows keep everything moving smoothly. Monthly three-way reconciliation confirms that everything is in place and reveals any inconsistencies so that they can be immediately remedied.

We want you to be prepared—whether you’re making strategic decisions, facing a bar inquiry, or getting ready for tax season. With our support, you can focus on growing your firm while we handle the books.

Law Firm bookkeeping services include:

  • Billing services for consistent income

  • Attorney compensation calculations

  • IOLTA three-way reconciliation and Trust Listing reporting

  • Advanced Client Costs tracking

  • Integration of practice-management and bookkeeping software

How to work with us

Leave the bookkeeping to us so you can focus on what you do best.

Step 1: Discovery Call

Let’s chat! We’ll discuss your law firm and learn if we’re a mutual fit.

Discovery Call: No charge

Step 2: Diagnostic Review

Every client at Ember Bookkeeping Services starts with a Diagnostic Review. This gives us both clarity on the full picture of your current system, illuminates any elements that need to be addressed, and creates a path forward.

Here’s how it works:

  1. You give us confidential temporary access to your accounting and practice management software.

  2. You upload necessary documents, including bank/credit card statements and your most recent tax return to our secure client portal. Don’t worry—we provide a detailed list of the documents needed for your diagnostic review.

  3. We review all elements and provide you with a detailed report of the current status of your books, including your IOLTA accounts—what looks great already, and what needs to be adjusted. We do not change or add any data to your books at this point in the process. NOTE: This is not an audit.

  4. When the diagnostic review is complete—within 10 days from receipt of all your documents, we will reach out to schedule a meeting to review the results and provide an optional proposal for monthly bookkeeping services.

Diagnostic Review: Starts at $1,500 - To be defined in advance of the work

Step 3: Proposal for Bookkeeping Services

After we have completed your diagnostic review and determined whether we are a mutual fit, we will provide you with a proposal for bookkeeping services, including the following:

  • Any catch-up or clean-up work needed for prior months or years since your last tax filing

  • Any IOLTA clean-up work needed for accuracy and compliance

  • Monthly bookkeeping services: Our rates start at $3,000/mo and are customized to fit your firm’s needs.

  • Engagement letter clearly defining our scope of work and expectations on both sides

Step 4: Onboarding & Bookkeeping Services Begin!

If you would like to move forward with our services, we will invite you to our system, bill your set-up fee, first month’s fee, and/or any clean-up and catch-up work, and begin the onboarding process.

We’ll let you know all the documents and actions needed in a clear and easy-to-follow format.
